Publishing Workflow

When you enter data on your organisations activities in AidStream, AidStream can automatically add your files to the IATI Registry. To enable this to happen, you need to follow the publishing workflow steps:

  1. Provide AidStream with the "Publisher ID" and "API key" for the organisation in the IATI Registry.
  2. Complete all the required information about your activity.
  3. Mark your data as completed and verified, finally published.
  1. For AidStream to publish your data in IATI registry, your organisation needs to have an account with the IATI Registry. The account has its unique pair of API key and Publisher ID. This set of information must be entered in the AidStream's Settings page for your the organisation. The publishing process fails if the keys do not match with your organisation. See the full guidance on registering with the IATI Registry and getting API Key and entering into AidStream here.

  2. Next, you must ensure that you provide correct information required on your activities that you wish to publish IATI specify that there are certain element fields that are compulsory for data to be published on it's Registry. They are as follows:

  • Title
  • Description
  • Participating Organisation
  • Activity Status
  • Activity Date
  • Recipient region or Recipient Country
  • Sector

  1. Once all information required is entered correctly, you must mark the activity as 'completed'. This process can be carried out from the activity page(see below).

The initial state of the activity data is always in the draft state. It can be changed to a 'complete' state by clicking the blue "Mark as Completed" button.

After clicking the "Mark as Completed" Button, the state of the activity data changes to completed if everything is correct. If any of the compulsory fields is missing or if there are any other validation errors, a 'Validation (or error) message' will appear (see below).

If you see any such errors, go back to the particular element by selecting it on the right hand side menu and complete the information correctly.

Once all information is correct, simply click on the "Mark as verified" button and then the "Mark as published" button to publish your files to the IATI Registry.

You will see a message to confirm that your activity file is published in the IATI Registry. You can also check your organisation's page on the IATI Registry to make sure that the activity file is there - the page is updated instantly. If you already have the Registry page open, make sure you click on the refresh button in your browser.

If your activity could not be published to the registry, the an error message will be shown.

To see all the files that you have published, you can go to the 'published files' section by clicking the link on the left of the AIdStream page (see below).

To view individual files published click on the XML file link(see above) and the data will appear in an XML format, which the format used in the IATI Registry.
