Plan for Collab Summit before/after JSConfUS #1654

The conference will be 14-16th of October 2025.

We could do a collab summit on the 13th of October in the same location, on 12th-13th of October in the same location (pending room availability).

If there is a room for us at JsConfUS it seems like a no-brainer to me :)

I had a chat with @rginn about this, and I've got a few details.

We have a room on the 17th of October at the exact location for the whole day, plus a room for half of the 16th. In essence, it's a day and a half. (We could also do another half-day on the 15th, but it's not worthwhile, as we'd gain more value from mingling at the event).

Here is one more difference compared to the previous ones: all participants of the collab summit would need to have a ticket for JSConf. Of course, JSConf speakers will have their tickets, travel, and hotel covered.

Flights will likely get expensive quickly for this, so we should make a decision. We could also leverage the early bird pricing for tickets.

I propose we go ahead with this plan, but let's talk about it in the upcoming tsc meeting.

UPDATE: I met with our events team yesterday. JSConf attendance / ticket purchase will NOT be required to attend the Node.js Collab Summit. Node.js Collab Summit will have a separate registration google docs form. That said, we do hope you all will buy a ticket and attend JSConf for the many wonderful community benefits it offers.

On a more practical note, the lunch for Node.js Collab Summit will be built into the overall budget of JSConf...another reason why we'd love for y'all to buy a ticket because we must use the expensive hotel catering for any meals onsite.
